Managing Copy Approval for Food Packaging

About 2 minutes to read

Track copy approval separately from visual approval when producing food packaging. Keep evidence that the correct version has been prepared for the right product and market.

Establish one product information source

Store the product code, variant, language and intended sales market together. Designers should not have to guess which email contains the latest wording. Record the changed field and the approving owner whenever information is updated. Qualified product and regulatory specialists must review the applicable labelling requirements.

Maintain distinct approval responsibilities

The visual team checks layout and readability; the product owner checks accuracy. The packaging supplier separately verifies manufacturing requirements. These reviews do not replace one another. When a translated text becomes longer, check the resulting layout as well as the translation itself.

Trace changes across the range

List every package using a shared information block when that block changes. Correcting only the currently open file can leave inconsistent products in the range. Equally, do not automatically paste identical wording into every variant. Separate common information from product-specific fields in the working files.

Identify the production version

Archive the approved file with its date and version. A later copy change may require a new proof and renewed approval. The supplier and the company should refer to the same release. Defining these responsibilities in the packaging design brief helps prevent last-minute wording changes from entering production without a clear review record.
