External creative support does not mean every internal decision moves outside the company. Product information, commercial priorities and final approval still require business involvement. Clarifying these responsibilities at the start reduces unexpected delays caused by missing information.
Assign content and approval owners
Who verifies product descriptions, approves campaign conditions and resolves conflicting comments? Without named owners, production can wait while the calendar continues to move. Several departments may contribute, but feedback sent to the creative team should represent a consolidated decision.
Organise starting assets
Keep logos, brand guidelines, templates and usable images in a shared location. Clearly distinguish obsolete versions. A visual reference is not automatically licensed for publication; the relevant parties should check sources and usage rights for assets that will be used.
Distinguish request stages
Opening a task, making it ready for production, reviewing it and approving it are different states. If information is missing, show exactly which input is needed. Automation and tracking tools can organise this information, but should not become the owner of commercial decisions requiring verification.
